Newcastle University has an established lecture capture system, branded internally as ReCap, which is now firmly embedded within our Learning and Teaching Strategy.
ReCap is an on-premises hosted solution and is used extensively across our Newcastle campus and extends to our branch campuses in London and Malaysia. We currently make in excess of 30,000 recordings and receive over 680,000 recording views per year.
Recordings can be scheduled in a total of 234 learning and teaching spaces across our Newcastle and branch campuses where the system currently records the presenters voice and any input sources (including dual projection where installed) via the main AV display.
Lecture capture hardware (comprising a dedicated capture PC, USB capture device, USB boundary microphone and visual recording indicator) is installed in 195 venues and schedulable recorder software is installed on teaching PCs (using a USB capture device and USB boundary mic) in the other 39 venues.

We are seeking tenders for a Lecture Capture System that will meet the technical specification for the system and it is vital that those tendering explain how migration from our existing system to their proposed system will be achieved and supported. The supplier must provide appropriate costings and estimates of effort (from a supplier and Newcastle staffing perspective) for the transition to production, including a detailed implementation and migration plan.
Our current agreement expires on 31st July 2017. The scope of this tender is for a system which will meet the following requirements:-
| 1. | To provide a scalable, centralised and automated on-premises lecture capture system, at low cost, that is capable of meeting the needs of the University and its branch campuses. The proposed system must be able to support and exceed our recording and viewing numbers. |
| 2. | To provide a low cost, scalable in-venue solution requiring minimal support staffing and administrative overheads. |
| 3. | To provide a personal desktop capture system for both staff and students |
| 4. | To provide a smooth migration from our existing system, all training and support of student access to existing recordings |
| 5. | To provide consultancy as required to ensure the successful project completion within the dates identified in the Invitation to Tender document and all ongoing maintenance and support of the system for the duration of the contract as outlined in the same document. |
