Conferences Venues & Accommodation

Southern Health NHS Foundation Trust is seeking Provider(s) to provide venues for various training courses run by the Trust. This will include room hire with equipment, refreshments and for some courses overnight accommodation. The contract can be split into geographical lot areas. You can bid for one, two or all three lots. The areas are:

North & Mid Hampshire, South East Hampshire, South West Hampshire

In addition there will be 2 sub lots for the different types of venue requirements The location(s) must be easily accessible from within Hampshire.

The indicative numbers for a 3 year period are :

Lot A Development Training

3000 delegates training days , 1000 nights of accommodation

The training/meeting rooms should be able to cater for the following delegate requirements:

1-12 delegates,13-30 delegates, 31-50 delegates Over 50 delegates

Lot B Statutory, Mandatory and Clinical Skills Training Rooms only

The figures below are based on the number of training events for each area.

Basingstoke (N&M) 90 New Forest(SW) 90

We will require bids for a capacity of 1/4 of the scheduled events by geographical area.

The following is a brief description of requirements which are applicable to both lots:AV equipment to allow full media presentation.

Wi-Fi that will allow a maximum of 24 tablets in each room on site to simultaneously stream video content from the web.

Access to unlimited tea & coffee making facilities and water.

Equipment Storage: Some of the most frequently delivered training events require the room to be set up with considerable equipment, posing a storage challenge. Ideally a hospital bed and hoist can be accommodated on site for patient handling training. For Basic Life Support up to 14 training dummies need to be accommodated.Location & Travel:Free delegate parking on or near the site is required. For venues more than a 15 minute walk from a train station or frequently served bus stop, we would be interested in proposals for a low cost collection / drop-off service. In addition, the Trust requires off site meeting rooms at short notice for room hire of 2-4 hours duration The contract will be offered on a non-exclusive basis as there are requirements to book small meeting rooms near a base which requires no travelling by transport by its employees
