Bristol City Council wishes to appoint an external organisation to promote, manage and deliver the "RunBristol" race programme in order to ensure the future of the events. It is envisaged that this will be operated by a third party contractor under license to the council.

Race organisers and event management companies are invited to visit the Bristol 10k and market information Day on 31 May 2015 .Please note this invitation is an indication of potential future procurement activity and is subject to change. This exercise is not part of any pre-qualification or selection process.

BRISTOL 10k RACE and OPERATORS DAY 31 May 2015

Opportunity to witness the start and finish of the Bristol 10k race & presentations, Tour of the race village, Observe the area where the Race Event Control operates, A briefing / presentation on RunBristol and the procurement process ,The opportunity to ask questions both publicly and privately, Explore the race site and meet participants and partners,Opportunity to meet staff involved in the management of the event, Witness a mass-participation city-centre running event from close-up as it happens SCOPE OF SERVICE REQUIRED

Management and delivery of the major events currently listed under the RunBristol banner: Bristol 10k and Bristol half marathon

Race development – potential to establish and grow more events eg.

Bristol Cross Country, Ashton Court RUN10k ,Other supporting events

Data handling

Significant quantities of data and transactions online are required as part of the management of the event. It is anticipated that this will be run by the operator or by a third party contracted by the operator.

Entry administration, Fees and Results

Marketing & Promotion

Advertising, Communicating with entrants, Liaison with charities, maintaining website and social media channels, Developing the brand

Sponsorship, Developing relationships with sponsors, Ensuring sponsors benefits are delivered,

Compliance

Health & Safety,Road closures,Insurance

Draft timetable for the day;

8am – 9am Arrival & registration

  1. – 9.30am Tea & coffee, overlooking the race starting area
  2. - Witness race start
  3. - 10.15 Escorted to see the restricted areas of the race village
  4. – 12pm Operators explore the race village and witness end of the race

12-1pm lunch

1-2pm Presentation by BCC on the programme

2-3pm Operators to discuss specific questions

3pm End
