Portsmouth City Council (the 'Authority') is inviting expressions of interest from suitably qualified and experienced providers to tender for this project.
The scope of which will comprise of but may not be limited to provision of craft markets at two 2019 events, offered as Lots:
- Lot 1 - the Lord Mayor's Rural & Seaside Show
- Lot 2 - the Kite Festival
Proposal are sought for both Lots and bidders can submit proposals for one or both Lots.
Events:
Lot 1 - The Lord Mayor's Rural and Seaside Show
This event will take place on the 4th, 5th and 6th of May 2019, from 10am to 5pm each day. This 3 day free event takes place on Castle Field on Southsea seafront and attracts over 30,000 people. The show includes trade stands, workshops, activities, children's rides, arena displays and catering concessions.
Lot 2 - Kite Festival
This event will take place on the 10th and 11th of August 2019 from 10am to 5pm each day. This 2 day free event takes place on Southsea Common and attracts 6,000-8,000 people per day. The show includes a number of kite flying demonstrations, trade stands, workshops, activities, children's rides and catering concessions.
At both events, the provider will be required to provide and manage an arts and crafts market, including sourcing and managing traders for the event and providing infrastructure for the market. The market must be organised as individual gazebos which must be appropriate for seafront weather conditions., with pitches for traders offering a broad range of stalls appropriate for the event. The Authority envisages the market will consist of a minimum of 10 stalls and a maximum of 20 stalls. Please note, stalls selling food, alcohol, drink or charity stalls will not be accepted as part of this application as these stalls are booked separately by the Authority's Events Team.
The initial contract period for each Lot will be for 1 year, extendable by 1 year to a maximum of 2 years subject to performance and agreement of all parties.
Both Lots are offered as a service concession and as such, the successful provider will be required to make a payment to the Authority.
