Conference Director Brief
We are seeking an experienced Conference Director to deliver the event in its entirety. The Conference Director should have the ability to:
- ensure the securing of the venue and negotiating all related services/fee
- work with the 14-18 NOW team to finalise the conference programme
- interrogate content and prioritise preferred speakers
- invite, secure and brief preferred speakers and any necessary back ups
- commission all design needs with support of 14-18 NOW Director of Brand & Communications
- build the guest list
- prepare all print/digital materials eg conference programme; speaker
biographies; venue information
- commission any films/media and other collateral for use on the day/promotion
- issue guest invitations and monitor rsvp's alongside 14-18 NOW's Events and External Relations Manager
- co-ordinate all technical/catering/set up of venue
- oversee the event on the day
- undertake thank you and follow ups
- debrief and evaluation
NB This is an indicative list of responsibilities
The Conference Director will be highly skilled in their field, with particular experience of:
- successfully planning and delivering one or more conferences of scale
- working with a range of different organisations and funders, preferably including those in the arts and heritage sectors
- liaising with and briefing senior and high profile personnel
- budget development and control
- briefing and motivating delivery teams
Practicalities
The contract will run from 1st July 2018 to end of May 2019.
There is a budget of no more than £13,000 (excluding VAT) for the Conference Director's fee. You will provide your own workspace and equipment, and 14-18 NOW will provide meeting rooms as required. If travel outside of London is required, expenses will be reimbursed in line with 14-18 NOW's standard policies.
The Conference Director will be supported by 14-18 NOW's Events and External Relations Manager.
