NOTE: This notice was updated on 14 September 2015 for the following reason: Return deadline has been extended.Braintree District Council is seeking quotations from suitably qualified and experienced suppliers for the provision of a database system to manage the following:

•Freedom of Information Requests (FOI) •Environmental Information Requests (EIR) •Requests under the Data Protection Act (DPA) •Complaints

•MP Letters

The monitoring of FOI’s/EIR’s and Complaints is a very manual process with a high proportion of duplication of work and with a very restrictive access to the databases holding the information. Both complaints and FOI’s/EIR’s have similar processes in that they are date driven and need to be monitored for trends to help identify improvements.

There is an opportunity to source a database which will assist in reducing duplication of work, ease the burden of reports and manual calculations for checking response times to both complaints and FOI’s/EIR’s storing all the information in one central system.

The new database will also be used for requests made under the DPA and to record MP letters.

It is intended that the system will be purchased in the first instance and an ongoing license/maintenance fee will apply after the first year.
