THE SUPPLY OF ULTRA LOW TEMPERATURE (ULT) FREEZERS SERVICE, MAINTENANCE AND REPAIR

The University of York wishes to establish a framework contract with a single supplier to deliver ULT freezer servicing, maintenance, and repairs. The successful supplier will work closely with the Departments of Biology, in a 'partnership' capacity and will be the preferred service provider.

It is anticipated that the service contract will commence on the 1st of September 2024 and will run for an initial period of three years through to the 31st of August 2027 with the option to extend the contract on an annual basis, for a further two years, from the 1st of September each year to a maximum of 5 years.

The essence of the contract will be to service, maintain, and repair the University's ULT freezers ensuring the following requirements are achieved:

Visual Checks

• oAll working parts
• oDoor seals
• oDoor locking mechanism
• oFans
• oElectrical systems
• oPipework
• oFittings and connections

Additional Checks:

• oClean all cooling fans, compressor unit grilles and filters.
• oCheck the PAT date is within two years.
• oTemperature calibration to check the internal chamber temperature with an independent probe against the displayed and set point temperature of the unit.
• oCarry out adjustments as required.
• oLabel on the door with the date of the service and engineer's identity (name or initials)
• oVerbally inform the Operations or Deputy Operations Manager of any adjustments, changes or action required before leaving the premises.
• oComplete and submit a report for each freezer within 1 one week of the service visit.
