Invitation to tender for the supply and maintenance of photocopier/scanning devices and desktop printers

The Architects Registration Board is the UK's statutory regulator of architects. We are an independent, public interest body, set up by an Act of Parliament in 1997. We are a small organisation with 25 members of staff.

We are tendering for the purchase and maintenance of:

2 x multi-functional devices (photocopy/scanning) with A4/A3, fax function, B&W/colour print/copy capability;
a minimum of 2 x desktop printers each with at least 2 paper trays.

Along with the purchase of devices, we require a maintenance contract to sit alongside all machines (to include toner, maintenance, parts, labour and call-outs - contract length and start date to be negotiated) and ideally some form of print management software to incorporate a secure print release function.

Of note: Sharepoint & SQL Server Integration

We operate multiple line-of-business applications that use Microsoft SQL Server databases for storage and retrieval of entity records and also operates Sharepoint 2013 (On Premises) for Records Management / Document Management purposes.

We are seeking a solution that may ultimately facilitate tight integration between these products and the chosen models of Photocopiers. Specifically:

Scanning documents into Sharepoint Libraries directly from the Photocopier
Simultaneously specifying Sharepoint metadata values
Simultaneously validating Sharepoint metadata values against SQL Server entities
Simultaneously populating Sharepoint metadata values by executing lookups against SQL Server entities
