Job role: Secretary to Cabinet Member

Rate of pay: ?12.95 PAYE

Hours: 18.5 hours- Monday- Friday approx. 3.5 hours a day (various days of the week in the office)

Location: Home working/ Sandwell Council House

Contract Type: Agency

IR35: This role falls inside of IR35 legislation.

Brief description:

Urgent requirement: PA to Cabinet Member. The role will require you to work closely with the Secretary to the Leader and the Secretary to the Deputy Leader and four other PA's in the department. The most important aspect of the role is the need for confidentiality. You will have experience of being a PA at Senior management/ Director level with excellent organisational skills and the ability to act on your own initiative. You will have Local Authority experience.

You will be flexible in your approach to fit in with the requirements of the Cabinet member. Currently the team of secretaries attend the office on Wednesdays. You will be required to attend the office on other days when there are Cabinet meetings taking place.

The role of a Cabinet Secretary is a none political role and there is a protocol in place that governs this:

  • oTo undertake duties as Personal Assistant to the Cabinet Member
  • oDeal with all telephone enquiries
  • oProvide professional reception service, receiving and directing all visitors
  • oMaintain an electronic appointment diary
  • oTo ensure Cabinet Member has all papers electronically for meeting. (If necessary paper copies can be provided)
  • oTyping all letters, reports, briefings
  • oOrganisation of Portfolio briefing meetings and other meetings as required
  • oAttend briefings and take action notes/minutes and follow through actions with Officers to conclusion
  • oAttend any other meetings as and when required, prepare paperwork and take minutes
  • oTo research and respond to enquiries by Chief Officers, Cabinet Members, other Members of the Council MP's and Senior Officers
  • oDeal with all correspondence, complaints, enquiries including Portfolio and Ward Casework
  • oKeep an electronic spreadsheet of all casework enquiries
  • oDeal with external agencies and where appropriate undertake booking of conferences travel arrangements for conference, seminars including accommodation
  • oTo co-ordinate the preparation of speeches and presentations
  • oBe adaptable and flexible in your approach
  • oThe ability to build and maintain good working relationships.
