description

1.The Association of Police and Crime Commissioners (APCC) and National Police Chiefs’ Council (NPCC) are looking hold a combined policing joint event in late 2015. While the event will broadly attract the same delegates and sponsors, the facilities will need to enable the two organisations to hold separate sessions but to come together for joint, mutually beneficial debates and discussions.
2.We have a strongly preferred date of 24-25th November 2015, however will consider alternate dates should our nominated date prove especially difficult to accommodate. The 2015 event will comprise a conference that meets the requirements of both organisations accompanied by a smaller scale exhibition and corresponding sponsorship.
3.Looking to the future, the intention is to hold a similar styled event in 2016 (which will naturally evolve as we learn the lessons of 2015). Whilst it is far too early to know whether there will be an event in 2016, this tender includes the option of a second event:
a.A similar joint event between the APCC and NPCC in November 2016 (with flexibility to incorporate lessons learned from 2015)
b.A sole event hosted by the APCC only (also in November 2016).
4.Events must be managed ethically and transparently, organised to address current financial constraints as well as internal and external perceptions and ensure that neither of the client organisations incur any financial risk. All commercial liability must therefore be met by the event company chosen to organise the event.
5.It is of upmost importance that any sponsorship / exhibitor arrangements are only proposed (and signed off) with companies / organisations that are ethical and transparent in their operations i.e. companies suitable for policing organisations to be associated with.
6.This document details the Client Specification for the 2015 event and provides information on the appointment process and associated timescales for selection as the preferred event company. Details of the 2016 event (should it proceed) are expected to be broadly similar to 2015.
7.It is intended the company that is successful in this process will manage the delivery of both the 2015 and 2016 events, subject to delivery of the 2015 event to our satisfaction.
